Changes and Refunds
This document establishes the specific terms and conditions applicable to reservation management, rescheduling requests, cancellations, and refunds for all services operated by ANDINA TRAVEL. This policy functions as an adhesion contract that the client accepts upon confirming their booking and making the initial payment. Its objective is to guarantee transparency and the fair application of operational charges, in strict compliance with the General Tourism Law and the Consumer Protection Code of Peru.
1. Booking and Confirmation Process
A booking is considered formally confirmed once ANDINA TRAVEL receives the required deposit and issues the corresponding payment receipt.
- Mandatory Requirement: All bookings are subject to the availability of official tickets (Machu Picchu, Inca Trail) and logistical spaces. The deposit is indispensable to begin the issuance of nominative and non-transferable tickets.
- Written Confirmation: The final confirmation, including dates and a detailed itinerary, will be notified in writing via email by an ANDINA TRAVEL advisor.
2. Date Change Policy (Rescheduling)
Any change request must be communicated in writing by the client to ANDINA TRAVEL. Feasibility will depend on the conditions of government providers and transportation companies.
- Changes with Advance Notice (More than 30 Days): Subject to an administrative penalty of $50 USD per person, plus non-recoverable charges for tickets already issued.
- Last-Minute Changes (Less than 30 Days): These will be considered a partial or total cancellation subject to the penalties in Section 3, as train permits and entrance fees are usually non-modifiable within this timeframe.
- Special Tours: For high-demand treks such as the Inca Trail, date changes are generally prohibited or involve the total loss of the deposit.
3. Cancellation and Penalty Policy
Cancellations must be notified in writing to ANDINA TRAVEL. The penalty depends on the advance notice provided:
- More than 60 days’ notice: The initial deposit (non-refundable) is retained to cover administrative expenses.
- Between 30 and 59 days: A penalty of 50% of the total tour cost applies.
- Less than 30 days: A penalty of 100% of the total cost applies, with no right to a refund, due to services already committed.
4. Refund Process and Deadlines
Refunds apply to the remaining amount after deducting penalties and non-recoverable expenses.
- Non-Refundable Tickets: The cost of Machu Picchu entry fees, trekking permits, and train tickets are non-recoverable expenses and will be deducted from the refund.
- Processing Time: Refunds will be processed within 30 to 45 calendar days after the formal acceptance of the cancellation.
- Refund Method: The refund will be made using the original payment method; bank fees and transfer costs will be the responsibility of the client.
